Facility Rental Terms and Conditions

USAGE BY BRBC

By renting the facility to the Licensee, BRBC in no way terminates its right to control the management of the facility and to enforce all necessary rules and regulations as may be required. BRBC reserves the right to alter or terminate any booking that is incompatible with unforeseen congregational usage requirements of BRBC, though BRBC will do its best to suggest alternative dates or spaces in such circumstances. BRBC does reserve the right to terminate groups who are disrespectful and/or aggressive towards its staff and facility personnel.

USAGE BY LICENSEE

The Licensee agrees to accept the BRBC facility as is and to inspect the premises and equipment prior to use. The Licensee agrees to abide by fire regulations as well as building regulations adopted by BRBC for the facility. The Licensee will comply with all municipal, provincial, and federal statutes, ordinances, rules, and laws, and shall maintain order of all people attending the event. The Licensee shall not damage or abuse the BRBC property and shall use the facility only in the manner in which it was designed and intended to be used.

PROHIBITED ACTIVITIES

BRBC is both a non-smoking and an alcohol-free facility. BRBC will not rent the facility to any group whose intended use is not deemed to be in line with the values and beliefs of BRBC or the Canadian Baptists of Ontario and Quebec (CBOQ). If the event is determined by the BRBC Board of Management to oppose these values and/or beliefs, BRBC reserves the right to terminate the booking and return the deposit in full to the Licensee without further liability to either party, except minus any damages incurred to the facility and/or its equipment.

FOOD PREPARATION AND SERVICE

Food may only be served in the Gymnasium.

Food may not be prepared on the premises. However, food supplied by caterers or the Licensee may be warmed in the Kitchen. The Licensees must supply their own condiments, tablecloths, napkins, dishes and cutlery.

All garbage is to be bagged and left inside the parking lot door. No food is to be left in the refrigerators. All countertops and tables are to be cleaned and floor spills wiped up.

USE OF FACILITIES

The facilities and all equipment are to be left in the same condition as they were when your event began. If chairs and tables have been set up for your event, it is not necessary for you to put them away. If you have moved equipment or furniture, please return it to its original location. In the case of damage to church property, the Licensee is responsible for the cost of repairs required to restore to original condition.

Use of the facilities is restricted to only those facilities and times that are specified in the rental contract. Use of facilities must be terminated at the agreed upon time to accommodate the church official who has been assigned to close and secure the building at the conclusion of the event. Late departures will result in additional fees.

DECORATIONS

BRBC does not provide decorations for events. Set-up, take-down, clean-up, and removal of decorations are the sole responsibility of the Licensee.

No decoration is to be fastened to the walls or furniture in such a manner as to cause residue or damage. Any additional items brought into the facility (i.e. bulletins, pamphlets, etc.) are the responsibility of the Licensee to remove from the facility.

Confetti, rice, or other similar items will not be used at the facility. An additional cleaning rate will be charged to the Renter if non-approved items are used and cause difficulties for cleaning or wall repair.

Decoration of the facility is considered part of the rental period. Use of the facilities is restricted to only those facilities and times that are specified in the rental contract.

AUDIO/VISUAL EQUIPMENT

The use of other audio and video equipment (speakers, microphones, projectors, etc.) owned by Bromley Road Baptist Church is strictly prohibited.

MUSICAL EQUIPMENT

The use of the grand piano, organ, drums, keyboard, or other musical instruments owned by Bromley Road Baptist Church is prohibited.

PUBLICITY

BRBC’s name shall not be used as the sponsoring organization in any advertising or promotional literature for any event, unless it is an “official” Bromley Road Baptist Church event. BRBC’s telephone number is not to be used as the number to call for further information about your event.

ANIMALS

Only service dogs are permitted on the premises.

NOISE

Noise must be kept within acceptable limits at all times so as to not disturb neighbours. There is a City ordinance which forbids noise which will intrude on neighbours after 11:00pm.

PARKING

The BRBC parking lot is accessible from Lauder Drive. On-street parking is also available on Lauder Drive and Bromley Road.

INSURANCE

It is mandatory that all events which make use of BRBC’s facilities and are not “official” Bromley Road Baptist Church events have appropriate liability insurance in the minimum amount of $2,000,000.00 with a deductible for property damage of not more than $1,000.00. Liability insurance is required to name Bromley Road Baptist Church as an additional insured. Liability waiver certificates are not sufficient and will not be accepted.

Before rental contract for BRBC facilities can be finalized, the Licensee must provide the Treasurer with a valid and current Certificate of Insurance.

INDEMNIFICATION

The Licensee agrees to indemnify and hold harmless Bromley Road Baptist Church, its Directors, its staff, and membership from an against any and all demands, liabilities, charges, claims, debts, suits, causes of action and expenses of every kind and nature including, but not limited to, injury or death arising out of or as consequence, directly or indirectly, of the Licensee’s use of the church facilities, premises and property, including all legal costs and fees incurred in defending, answering and/or responding to claims alleged or prosecuted against Bromley Road Baptist Church, its members, directors, officers and/or staff.

PAYMENT AND REFUNDS

Payments are to be made semi-annually following an invoice by the Licensor. The fee will be refunded if a cancellation is made 30 or more days prior to the next scheduled day of the event. No refund will be given if the cancellation notice is received less than 30 days prior to the scheduled day of the event.

Invoices for outstanding rental fees are sent out at the end of the preceding month and are due on receipt. Failure to pay will result in the Licensee’s loss of future rentals at BRBC.

CAPACITIES

The capacities of the available rooms are as follows (does not account for social distancing):

  • Gymnasium: 228 persons (standing)

  • Sanctuary: 160 persons

  • Cafe: 20 people

  • Basement: 50 people

  • Kitchen: 10 people
